Position Summary: 
The Admin and HR Associate will be responsible for completing all admin tasks in an excellent and timely manner. This will cover a variety of assignments, including logistics, reporting, finance and recruitment work. 
 
Reporting to: Program Director
 
Main Responsibilities
HR roles:
  • Ensure that all time sheets of all staff, consultants and interns are monitored, completed and submitted for payroll. 
  • Take an active role in the recruitment and promotion process, including contributing to job descriptions, marketing vacancies, analysing, selecting and inviting suitable candidates for interview and offering positions. 
  • Prepare all offer letters, contracts, certificates, appraisal letters, notices or any such official documents required for HR purposes.
  • Maintain records of staff insurance while ensuring all team members have insurances as per office policy. 
  • Manage FAT team members planned and emergency leave requests, absences and holidays.  
  • Welcome and introduce new staff to the organisation, ensuring they understand and agree to all policies, procedures and expectations of them as a representative of FAT, including adherence to the Code of Conduct. 
  • Support the Core Team to carry out regular staff appraisals and implement actions for capacity building that arise. 
  • Contribute to the ongoing reviews and improvements to the organisations policies and procedures. 
  • Plan team meetings, retreats and celebrations and innovating new ways to keep the team connected and to maintain a healthy work environment.
  • Play an active role in conflict management including investigating, reporting and documenting grievances. 
  • Assist in the dismissal procedure, including investigating, documenting and analysing. 
  • Oversee that FAT is continuously operating as an equal opportunities organisation.
Admin role:
  • Manage a team responsible for all general, day-to-day administrative tasks, including office maintenance, answering phone calls, communicating with vendors, managing stock, handling dissemination of materials and responding to inquiries. 
  • Handle petty cash in the absence of Accounts Associate.
  • Take care of all logistics related to team, board and other similar meetings, including, securing the location, resources, travel, catering and accommodation arrangements and payments. 
  • Maintain information relating to donations and funds received by the organization. 
  • Supervise and train all admin staff and interns working in the admin department.
Skills, Knowledge and Abilities Required
  • At least 2 years experience of admin and HR work, preferably within the NGO sector. 
  • Good negotiation skills, with the ability to be impartial when needed. 
  • Good knowledge and understanding of Women and Girl’s rights issues in India. 
  • Capacity to communicate effectively with people at all levels of work, as FAT is working towards operating within an increasingly horizontal structure. 
  • Proficient use of computer programs including Microsoft office and financial software.
  • Ability to work collaboratively as part of a team, exchanging knowledge and ideas, respecting and helping others to develop. 
  • Strong interpersonal skills, including a positive, can-do attitude and open mind. 
  • Knowledge of and connection with FATs mission, vision, values, principles, programs and services. 
  • Ability to work independently and under self-management, with high energy and a motivation for learning and developing. 
  • Effective time and workload management, ability to delegate and juggle multiple complex priorities at one time.
  • Excellent proficiency in written and spoken Hindi and English. 
  • Excellent organising skills and exceptional attention to detail.

Compensation is based on experience and qualifications. Range 25,000 INR to 30,000 INR gross salary per month. Relocation expenses are not available. Joining: As soon as possible.
